Privacy Policy

This policy explains what personal information Polajoy collects, how we use it, and the rights you have. Polajoy is operated by Polajoy Ltd, a company registered in England & Wales (company no. 17392851). We are the data controller for the information described here. The seal. Photos taken in Polajoy are sealed the moment they are captured. No one, not other guests, not the couple, and not us, can browse them through the app while your event is running. They are held in a private, encrypted cloud vault in the UK, and only opened at your reveal moment when the event ends. This is the heart of how Polajoy protects your photos, and we never override it.
Who this applies to
Polajoy is used by two kinds of people: couples who set up a wedding, and guests / photographers who join a wedding to take photos. This policy covers both.
What we collect
- Account details: your email address (used to sign in), or your Google account if you choose that sign-in option, and your name when you join or set up a wedding.
- Event details (couples), your wedding names, date and venue, and a delivery address when you order prints or a Wedding Kit.
- Contact details: a mobile number or email if you provide one, so we or the couple can reach you about your photos or an order.
- Photos you take: the photos captured in the app, stored sealed as described above.
- Photos you upload: if you buy a Wedding Kit, any photos you upload (for example a sample photo, or guests' photos for place cards) so we can print them.
- Payment information: when you order prints or products, payment is handled by Stripe. We receive a record of the purchase but never see or store your full card details.
- Technical data: basic device and usage information needed to run the app reliably and securely. In-app product analytics are anonymous by design: a random per-install id with no name, email or photo attached, used only to see where flows succeed or fail.
How we use it
- To run the camera, film and sealing features of the app.
- To open your photos to you at your reveal moment, and let you keep, share and download your favourites.
- To take payment and print & post the prints, cards and Wedding Kits you order.
- To send you sign-in codes, order and delivery updates, and invitations.
- When you open a shared gallery link, we ask you to sign in with your email so we can send you order updates. Only if you tick the optional box will we also email you Polajoy offers and new products, you can withdraw that consent any time via the unsubscribe link or by emailing us.
- To screen photos for illegal or explicit content before they are printed or shown (see below).
- To keep the service secure and to meet our legal obligations.
Where we store your data
Your photos and account data are stored in the United Kingdom, on secure cloud infrastructure in a UK data centre. Some of the providers we rely on (listed below) may process limited data outside the UK; where that happens, it is protected by appropriate safeguards, such as the UK's International Data Transfer Agreement or standard contractual clauses.
Automated photo moderation
Before any photo is printed or opened, it is automatically screened for illegal or explicit content using an image-classification service (Amazon Rekognition). This checks the content of the image only, it is not facial recognition and does not identify people. Flagged photos are held back from printing and from the gallery.
Legal bases (UK GDPR)
We process your information to perform our contract with you (running the app and fulfilling orders), to meet our legal obligations, and for our legitimate interests in keeping the service safe, secure, and working. Where we rely on consent (for example, optional marketing), you can withdraw it at any time.
Who we share it with
We use a small number of trusted providers to run Polajoy. They only process data on our instructions, and we do not sell your personal information.
- Supabase: our UK-hosted database, file storage and sign-in.
- Amazon Web Services: underlying cloud infrastructure and automated content moderation.
- Stripe: payment processing.
- Our print & delivery partner: printing your prints, cards and Wedding Kits and posting them; they receive the photos to be printed and the delivery address.
- Google: if you choose to sign in with Google.
- Resend: sending sign-in codes and order emails.
- Vercel: hosting this website.
How long we keep it
Your wedding photos are yours to keep for as long as you want them. As long as your account stays active or you've placed an order, we keep your photos indefinitely: so you can revisit them and reorder prints years later. We only remove a wedding when it has become completely inactive: the event ended more than two years ago, no one has logged in for over a year, and no order was ever placed, and even then we email you a 30-day warning first, so a single sign-in keeps everything. A couple can also permanently delete their wedding and every photo, theirs and their guests', at any time from within the app (the "Delete this wedding" option), and anyone can ask us to delete their data as set out below. We otherwise keep information only as long as needed to meet legal, accounting and tax requirements.
Children's photos
Weddings often include photos of children, taken by adult guests. Polajoy is intended for adults (18+). If a photo of a child has been added and you would like it removed, contact us at hello@polajoy.app and we will remove it.
Your rights
Under UK data protection law you have the right to access, correct, delete, or restrict the use of your personal information, to object to certain processing, and to data portability. To exercise any of these, email hello@polajoy.app. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
This website uses the minimal storage needed to function, plus Google Analytics to understand how the site is used (visit counts and pages viewed). We do not use advertising or cross-site tracking cookies. The Polajoy app itself contains no advertising and no third-party tracking.
Changes
We may update this policy from time to time. The "last updated" date above will always show the current version.
