The rules, plainly

You applied to host Polajoy at your wedding and we've offered you a place on the Paid Host Programme. This page is the whole deal: what you earn, how it's worked out, when you're paid, and the few rules that keep it fair. If you accept your place, you're accepting these terms.
The deal in one line. You choose one of three: a fee agreed up front, paid after your wedding whatever anyone orders; or, for 45 days from your wedding day, a share of everything bought from your wedding's photos and gallery, at 10% in cash or 15% in Polajoy store credit.
1. Who this is for
- You're the couple (or one of the couple) hosting a genuine wedding with a real date, venue and guests, and you're 18 or over.
- You applied through our site and we approved your application. A place on the programme is per wedding, not per person, and it isn't transferable.
- Hosting Polajoy is free either way. The programme adds earnings on top and never adds costs.
2. Exactly what you earn
Your earnings are a percentage of your wedding's qualifying sales:
- Qualifying sales are physical photo products bought from your wedding (prints, framed prints, canvases, collages, wall frames, photo books and cards), whether bought in the app by you or your guests, or through your shared web gallery by family and friends.
- The window is your wedding day and the 45 days after it, inclusive. Orders placed before the wedding (for example table cards or other pre-wedding kits) and orders placed after day 45 don't count.
- Counted net: delivery fees are excluded, refunded or cancelled orders are excluded, and any discount or store credit a buyer used is excluded from the counted amount. What counts is what was genuinely paid for product.
- Gift cards don't count. Buying a gift card is not a qualifying sale, and when gifted credit is spent on an order, the credit-covered part of that order doesn't count either. Gift-card money is already spoken for, so it never earns cash or store credit under this programme.
- Pre-wedding items earn no commission. Instead, you get 10% off them. Wedding Kits bought before the day (table cards, place-name retroprints, sample packs) sit outside the earning window, so rather than commission you get a 10% host discount on them, applied automatically at checkout once you're on the programme. The free invite pack stays free, obviously.
- Your rate: a fixed fee agreed in writing before your wedding, or 10% of qualifying sales paid in cash, or 15% paid in Polajoy store credit. You pick (see §4). What you pick is locked when you're approved onto the programme, and later changes to the programme never touch it.
- If you chose the fixed fee, nothing in this section applies to what you are paid. Qualifying sales, the 45-day window and the exclusions above decide the 10% and 15% options only. Your fee is the agreed amount whether your wedding orders a great deal or nothing at all.
- Purchases you make yourself during the window count too. (Yes, really: buying your own album earns your percentage back on it.)
3. When and how you're paid
- The window closes at the end of day 45. We then verify the sales (checking for refunds and anything odd) and confirm your total, normally within 14 days of the window closing.
- Store credit lands in your Polajoy account the moment your total is confirmed, ready to spend at checkout.
- Cash is paid by bank transfer to a UK account in your name, normally within 14 days of confirmation. We'll ask for your details securely at payout time; we never need them before.
- It's one payout per wedding, after the window closes, not rolling payments during it. (You can watch your total grow in the meantime.)
- If your wedding's qualifying sales are zero, there's simply nothing to pay, and you'll never owe us anything.
4. Choosing your fee, cash or credit
- The fixed fee is chosen before your wedding, not after. It is agreed in writing when we approve you, and because it does not depend on sales it cannot be swapped for a percentage once your day has passed. It is paid after your wedding has taken place, normally within 14 days of the date, by bank transfer.
- Between cash and credit, tell us your choice any time up to payout confirmation; if we don't hear otherwise, we pay the method you chose when you accepted your place.
- Once your payout is confirmed, the choice is locked for that payout.
- Store credit is personal to your account, can be spent on anything in the Polajoy shop, doesn't expire while your account is active, and has no cash value, so it can't be transferred or exchanged for cash later.
5. The few rules
- Real wedding, real orders. The programme pays on genuine purchases by real people. Orders placed to inflate the total and then refunded, bought with stolen or disputed payment methods, or otherwise manufactured don't count. Gaming the programme ends your place on it and any unpaid payout.
- Be straight with your guests. You're welcome (encouraged!) to share your gallery and tell people about the prints. Don't pressure guests, misrepresent what Polajoy is, or present the gallery as something it isn't. Never imply guests must buy anything.
- No spam. Share your links with people connected to your wedding, not to strangers or mailing lists.
- One programme per wedding. Programme earnings replace any other Polajoy sharing or referral reward for the same sales, so the same order never pays out twice. A wedding that came to us through someone else's referral can't also join this programme, and vice versa, because the two pay on exactly the same sales, so it's one or the other. (Rewards for introducing another couple to us are unaffected: that's a different wedding.)
- Keep it accurate. The wedding details in your application (date, venue, rough guest count) need to be true. If your date moves, just tell us; the window follows your real wedding day.
6. Refunds after payout
If an order that counted towards your total is refunded after you've been paid, we won't chase you for small amounts, but we may deduct it from any future Polajoy payout or credit, and in cases of large or suspicious refund patterns we may recover the corresponding part of the payout.
7. Tax
Programme earnings are yours, and any tax due on them is your responsibility. For most couples hosting one wedding this falls within HMRC's trading and miscellaneous income allowance, but we can't give tax advice, so if you're unsure, check with HMRC or an adviser.
8. What this isn't
Being a paid host doesn't make you an employee, agent, or business partner of Polajoy, and it doesn't authorise you to make promises on our behalf. It's a reward for hosting, nothing more formal than that.
9. Our side of the bargain
- We run the app, the sealed vault, the reveal, the gallery and the shop, and we fulfil every order; you never handle products or money.
- We may pause purchases or withhold a payout while we investigate suspected abuse, and we'll always tell you if we do.
- We can change or close the programme for future applicants at any time, but the terms and rate you were approved on stay locked for your wedding.
- If we ever have to end your place for a rule breach, we'll say why.
10. The product guide: what can actually be bought
So you know exactly where earnings can come from (and what your 10% host discount applies to), here's the whole Polajoy range in one place.
Before the wedding · your 10% host discount applies, no commission
- Invite pack: free, always: a printable join card with your scan-to-join QR code for the tables, plus a digital version to send round.
- Table cards: designer cards with your photo as a retroprint and the scan-to-join QR, printed on rigid board with a solid oak stand for each table.
- Place-name retroprints: a photo of each guest printed as a retroprint place card with their name, for the table settings.
- Sample pack: one photo of yours printed in all twelve film looks, so you can hold the real thing before the day.
After the reveal · where your earnings come from
Once your photos unlock, you, your guests, and anyone you share the web gallery with can order from the shop, and every one of these counts towards your total:
- Retroprints: the hero product. Real photo-lab prints of the wedding's photos in the instant-print style, loose, from three prints upwards, and cheaper per print the more are ordered.
- Thank-you cards: designer cards with your photos on the front and your message inside, singly or in packs.
- Framed prints & canvases: one favourite photo, printed edge-to-edge and framed (or gallery-wrapped), ready to hang.
- Collage print: up to thirty favourites in one big clean grid on fine-art paper.
- Wall frame: sixteen or twenty photos as a gallery grid behind a mount in a solid-wood frame.
- Photo book: a square layflat album of the whole day.
- Digital copies: free with any order, so nobody pays twice for the same photo.
Everything is printed and posted by our professional print lab; neither you nor Polajoy handles a parcel. Standard delivery is free on orders over £45.
11. The boring-but-important bit
